Manage permissions and sharing in the File Manager

Enhanced File Access Control in the Files Area

You now have more control over who can view and access files and folders in the Files area of MemberDay. These changes allow for greater flexibility when sharing documents both internally and externally.

Public and Private Files & Folders

By default, files and folders in MemberDay are private and can only be viewed by logged-in members.

To support easier sharing outside of MemberDay, you now have the ability to mark files or folders as public. Public files and folders are accessible via a special link that can be copied and shared. Note: the link must be shared explicitly—there is no public directory listing.

Making a File Public

To make an individual file publicly accessible:

  1. Click the action menu (three dots) next to the file.

  2. Select “Share File with Public Link.”

  3. A dialog will appear with the unique public link. Copy and share it as needed.

Making a Folder Public

To make an entire folder (and all of its contents) publicly accessible:

  1. Click the action menu next to the folder.

  2. Select “Make Folder Public.”

  3. Any file currently in the folder or added in the future will be accessible via its own public link.

You can return any public file or folder back to private at any time using the same action menu.

To know if a folder is public look for the folder icon that looks like this:

Folder Permissions (Internal Member Access)

In addition to public sharing, you can now control which club members can access specific folders within the Files area.

When setting permissions for a folder, you can choose access based on:

  • Member Types (e.g., Active Members, Board Members, Alumni)

  • Committees (e.g., Fundraising Committee, Events Team)

  • Individual Members

To set the permissions, do the following:

  1. In the action menu for a folder choose "Manage Folder Access"

  2. In the window that pops up, choose the individual or groups you want to have access

What Members See

If a member does not have permission to access a folder, it will not appear in their Files view at all. This ensures a clean and secure experience based on roles and responsibilities.
